The calculator and templates we've built for the jobs every agency does: quoting, confirming, billing and checking what a booking earns. All free. The downloads need no sign-up.
Quick answer: DMC Quote's free travel agent tools are a commission, markup and margin calculator; seven templates in Excel, Word and PDF for hotel vouchers, rooming lists, itineraries, invoices, hotel confirmation emails, travel quotations and a business plan; and an AI itinerary builder that turns net rates into a client quotation. The calculator and templates work without an account.
One calculator, three jobs: what a commission pays after your host's cut, what to charge on a net rate, and what markup a target margin needs.
Commission after the non-commissionable part and your host split, selling price and margin from a markup, and the markup needed for a target margin. Any currency, with monthly and yearly totals, plus typical commission by product.
The numbers to type into the calculator: commission and margin ranges by hotel category, tour type, transfers, cruises and region, with worked examples.
Each template sits on a guide page that explains the fields and shows a sample. Use the download button to grab the file straight away.
A one-page A4 voucher with every field the front desk checks, from the hotel confirmation number to what the guest pays at the hotel. Nights work themselves out.
A group header and 60 room lines with drop-downs for room type, bed type and meal plan, nights per row and a live count of rooms by type.
A day-by-day client itinerary with trip summary, hotel list and emergency contacts, an agent workings sheet in the Excel file, and a filled sample PDF.
Invoice and payment receipt. Line totals, a discount, two tax lines with your own label and rate, and the balance due all calculate themselves. Prints on one A4 page.
Six copy-ready emails to clients and hotels, a filled example, a confirmation letter and a field checklist, all in one Word file.
An eight-part quotation format, a sample quote you can copy, and Excel and Word quotation templates to fill in for each client.
A twelve-section Word template with guidance prompts, the same as a PDF, and an Excel financial plan with start-up costs, a 12-month cash flow and a 3-year profit and loss.
The one tool here that works from live prices. It needs a free agent account because it prices from net rates inside the portal.
Describe the trip in plain English. It builds a day-by-day itinerary with hotels, tours, attraction tickets and transfers at net rates, adds one markup percentage (0 to 50) to the whole package and sends the client a quotation as a link or PDF. No flights, and there's a daily cap on AI requests per account.
Most agencies need four documents per booking: a quote, a confirmation, a voucher and an invoice. This is where each one comes from.
| The job | Use |
|---|---|
| Check what a booking earns before you quote | Commission calculator |
| Send the client a priced proposal | Quotation template, or the AI builder if the trip is hotels, tours and transfers |
| Lay out the trip day by day | Itinerary template |
| Tell the client the hotel is booked | Confirmation email templates |
| Give the client a document for check-in | Hotel voucher template |
| Send a group's names to a hotel | Rooming list template |
| Bill the client and record the deposit | Invoice template |
| Plan the agency itself, or pitch it to a bank | Business plan and financial plan |
Templates are a starting point, not advice. Invoices have to follow your own country's tax rules, so check them with your accountant before you charge GST or VAT. And a template is only as good as what you type in: copy the guest name and hotel confirmation number from the supplier booking character for character.
One more limit worth knowing. Documents from the DMC Quote portal itself, such as hotel vouchers, are issued under Travel DMC Group and show the amount paid. That's why the voucher, confirmation and invoice templates exist: they let you give the client a document in your own name.

Yes. The calculator and every template on this page are free to use and download, with no sign-up. The AI itinerary builder is free too, but it runs inside the DMC Quote agent portal, so it needs a free agent account that our team has approved.
Excel (.xlsx) for the hotel voucher, rooming list, itinerary, invoice and financial plan; Word (.docx) for the itinerary, invoice, confirmation emails and business plan; and PDFs of the itinerary sample, the invoice sample and the business plan. The Excel files open in Google Sheets as well.
Yes. Each template has a space for your agency name, and you can drop your logo in. That is the main reason to use them: documents from the DMC Quote portal itself, such as hotel vouchers, are issued under Travel DMC Group, not your brand.
Start with a way to quote, a way to confirm and a way to bill: a quotation template or itinerary builder, a hotel voucher and confirmation email, and an invoice. Add a calculator so you know what each booking earns, and a supplier with net rates so there is something to sell.
